FAQs - How AVCalendar.org Works for You!

Just what is AVCalendar.org about, anyway?

    We know how hard it can be to find out what is going on in the community.

    This has been the problem:

    Each month, different community organizations have events for varying purposes to benefit our community. All too frequently, these are either unknown by the population or scheduled at the same time as another event, causing the event to be less effective in its purpose than the community or the organization having the event would like. This inefficiency leads to a less effective event from the perspectives of all affected parties; from the organization, to the target portion of the community that is meant to benefit from the event, to the community at large.

    This is our solution:

    Establishment of this community calendar website, available for free use by any community organization to post their events in a centralized fashion. Said website can then be referenced by any and all persons and organizations for the community to be able to visit and determine which events they might wish to engage in. Said website will be hosted and maintained regularly with a dedicated webmaster to input information after confirming that events proposed are bona fide and fall within policy guidelines.

What do I get when I register my group on AVCalendar.org?

    Once approved, member groups get a page of their own that includes their contact information, available link to their own website, ability to upload and post files on your page for anybody to download, room for your group to give information about what you do or are about, events for your group posted on your page, and even (if you have one) the ability to have your Google-based calendar posted on your page, too!  For certain pre-approved groups, the Google-based calendar can even be linked directly into the main calendar (please contact the administrator for further information and approvals on this).

Does my group have to have an IRS 501(c)3 designation to register on AVCalendar.org?

    No.  Any community based group is welcome to register and post its community events on the calendar.

How much does it cost to register and/or post events on AVCalendar.org?

    Absolutely nothing.  This site is completely free to use by everybody.  You are certainly welcome to go to the sponsor’s website at http://www.protectivesciencedynamics.org/ and make a tax deductible donation to help us offset the cost of administrating the site, but that is strictly voluntary and not a requirement for use in any way.

Can political groups register on AVCalendar.org?

    Within certain guidelines, yes.  Political groups are a part of the community and, as such, are permitted to join with the caveat that only community based events may be posted on this site.  General fundraising events for the group are permitted, as are any events that include the community as a whole.  Political fundraisers for specific candidates, etc. are not permitted and will be declined.  We respectfully ask that any such events, such as ‘for party members only’ meetings and individual candidate fundraisers, be kept to your group’s own website and that you direct interested persons to your group’s website from your provided page.

Can religious groups (churches/temples/mosques/etc.) register on AVCalendar.org?

    Within certain guidelines, yes.  Our churches, temples, mosques, and such are a natural extension of our community and, as such, are welcome to join with the caveat that only community based events may be posted on this site.  General fundraising events, community outreach programs, and any other event that is inclusive of the community as a whole are permitted to be posted.  We respectfully ask that religious service schedules be kept on your own site and that you direct interested persons to your group’s website from your group’s provided page.

Can individuals register and post on the calendar?

      Sorry, no.  Our guidelines are for community based groups, not individuals.

How do I register my group?

    Registration is simple.  From the main page, click on the ‘register your group’ at the top of the page.  You will be taken to the registration form.  Please fill out all information regarding your group.  REMEMBER: any information that you put into this form (except your password) will be visible on your group’s page!  After you are done, simply click on the ‘submit’ button at the bottom of the form and the administrator will review your information for approval.  If there are questions, you may either receive an email or a phone call for clarification.  

How long does approval take for registration?

    If everything is clear on your registration form, approval usually occurs within 1-2 business days (frequently within hours of submission of the form).

How do I submit an event to the calendar?

    Once your group is registered, simply log in with your email and password, then click on your group’s name on the left side of the screen.  When your group’s page comes on, you will see your sub-administration buttons on the top of your page.  To enter in an event, just click on the button for ‘submit and event’ and fill out the form that will appear.  Please include the full address of the location of the event (this allows for people to click on the convenient map function when it is posted to bettor find your event location).  Once completed, click on submit and the event will go to the administrator for approval.

How long does it take to have my event approved?

    If everything is clear on your event form, approval is usually within 24-48 hours.

I submitted an event and I see that it was approved because it is showing up on my group’s page, how long until it shows up on the main calendar?

    Once approved, an event must be picked up by the automatic search program of Google (called a “spyder bot” for you techies) and relayed to the calendar for posting.  This process can take up to 24 hours to occur.  With regrets, this process is out of our control.  

I absolutely need to get my event posted onto the calendar ASAP, how do I do that?

    If you have an event that absolutely needs to be posted immediately, please contact the administrator (see How do I contact the Administrator) with all of the pertinent information for an administrative posting to the calendar after you have completed the Event Entry Submission Form.

How do I upload a file onto my page?

    Once your group is registered, simply log in with your email and password, and you will be automatically redirected to your home page.  You will then see your sub-administration buttons on the top of your page.  To upload a document (PDF, DOC, DOCX, etc), just click on the button for ‘Your Documents’ and follow the prompts provided.

How do I contact the Administrator?

Simply click on the ‘contact us’  line at the top right of the page, or go to http://www.avcalendar.org/ContactUs.asp, fill out the form and click on submit.  Your message will be read by the administrator quickly (usually within the hour).
